Issuance of Duplicate Marksheet/ Academic Transcript/ Degree Certificate
- Duplicate Mark Sheet, Academic Transcript, or Degree Certificates will only be issued if the original one is damaged, lost, or stolen.
- An application must be submitted to the Controller of Examinations (COE), specifying the reason for the duplicate request and referencing Registration No, CIN, Semester (if applicable for Mark Sheet only), Degree Awarded, and Year of Degree Award.
- This application must be signed by the student himself/herself and submitted with all documents in their original form, as mentioned below.
Procedure
- For the replacement of a damaged Certificate, the damaged certificate must be submitted along with the application.
- For a lost or stolen Certificate, a GD (General Diary) is to be filed at the nearest Police Station. A photocopy of the same is to be enclosed with the application.
- Affidavit on non-Judicial Stamp Paper of ₹10 with an undertaking to return the duplicate degree in case the original is found. Format of affidavit is given below:
Proforma for Affidavit
I, <Name of the Student>, son/daughter of Sh./Smt. <Name of Father/Mother>, resident of <Present residential Address>, hereby solemnly declare and affirm as under:
i) That I was a student of St. Xavier's University, Kolkata (SXUK) from <month & year> to <month & year>.
ii) That I appeared and passed <Course Name> from <Department Name> in the year <Year>.
iii) That the original <Course Name> Mark Sheet or Academic Transcript or Certificate conferred on me by St. Xavier's University, Kolkata (SXUK) has been lost and to the best of my knowledge and belief, there is no likelihood of the said original certificate to be found again.
(iv) In the unlikely event that the original certificate is found, I shall return the duplicate certificate to the concerned authorities at SXUK.

- For a lost or stolen certificate, enclose a self-certified photocopy of the original Certificate issued by the University (if available).
Special Fees
Fees, as notified from time to time, are to be paid for the following:
- For Mark Sheet, Academic Transcript or Degree Certificate issued after 2 years but within 10 years, as notified from time to time.
- For Mark Sheet, Academic Transcript or Degree Certificate more than 10 years old, as notified from time to time.
- The fee is to be deposited through the online payment link of the University website or through a Bank Challan.
- A copy of the transaction slip of the payment must be submitted along with the application.
Processing Time
- For Mark Sheets, Academic Transcripts, or Degree Certificates issued within 10 years, the processing time is 45 days from the date of receipt of the Fee.
- For Mark Sheets, Academic Transcripts or Degree Certificates issued more than 10 years ago, the processing time will be 60 days from the date of receipt of the Fee.
- After receiving the application along with the documents mentioned above, the office of the Controller of Examinations will process the application, and a duplicate degree will be issued to the student. The certificate will be marked as "Duplicate" on top. The incumbent Controller of Examinations will sign such a certificate.
NB: The above rule can be excused only in case of an Academic Transcript, where more than one of the same can be issued after the written order of the Hon'ble Vice-Chancellor, if the same is required in academics or related processes. The fees will be ₹2,000 for the first copy and ₹1,000 for the second copy onwards.
